Executive Assistant and Office Management (m/f/d) Shipping Line

Our client is a medium-sized Shipping company with its Regional Headquarters located in Hamburg Hafen-City. Specialized in transporting goods to and from West Africa.

Responsibilities:

- Assists Managing Director with tasks that need to be performed
- Keeps relevant managers and employees informed about meetings and announcements in the company
- Prepares presentations, contracts, and guidelines
- Holds correspondences of the manager, keeps documents organized and files them
- Arranges travel schedules and reservations for all employees and guests
- Assists HR assignments (time keeping, etc.) and executive reporting
- Welcomes and hosts the guests, visitors and service providers
- Assists in the organization of meetings, trainings, seminars, and FB
- Takes necessary actions for office management (in need of maintenance, technical support, or purchase of materials (stationary supplies, etc.)
- Ensures delivery of purchases in a timely fashion and conducts research about suppliers and alternative samples
- Reports purchase records to related Managers and Managing Director
- Follows, manages, reports sustainability activities of the company

Requirements:

- Excellent command of both written and spoken English and German
- Preferably, 5 years of professional experience in a professional environment and such role
- Proficiency in MS Office applications, presentation and reporting programs and software
- Excellent interpersonal and communication skills
- Organization, time management and coordination skills
- Absolute discretion and confidentiality
